Who we are

Clear Catch is a lead scoring and routing service for businesses that use HubSpot. It is run by Michelle Stewart, operating as Clear Catch, a sole proprietorship registered in Ontario, Canada ("Clear Catch", "we", "us"). Our privacy contact is Michelle Stewart at adminteam@clearcatch.io.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Two kinds of information

  • Information about our customers. This is the people who sign up for and use Clear Catch. We are responsible for this information.

  • Information about our customers' leads. These are the contacts in a customer's HubSpot account. The customer controls this information. We only process it on their behalf, to provide the service.

What we collect

From our customers:

  • Name, work email, company name and password (stored securely, never in plain text)

  • Plan and billing details. Payments are handled by our payment provider. We never see or store full card numbers.

  • Settings you create in the app, such as scoring rules, routing rules, teams and reps

  • Messages you send us

From your HubSpot account, once you connect it:

  • New contacts' details used for scoring and routing, such as name, email, job title, company, country and form answers

  • Your HubSpot users and owners, so leads can be assigned to reps

  • Sales activity counts, such as calls, emails and meetings, used for the My Day page and speed-to-lead stats

  • If you turn on calendar availability: only your reps' open booking times, never meeting titles or details

What we keep in our database. We don't keep a full copy of your HubSpot. We keep only what the app needs to work:

  • For each scored lead: its HubSpot ID, email, fit score, tier, assigned rep, the reasons for the score and a short lead brief (role, company, company size and location)

  • For leads waiting in your review queue: name, email, job title, company and country, so you can approve them

  • A log of leads moved from one rep to another (the lead's name and HubSpot ID)

  • The Team wins feed, which can include a meeting's title or a new lead's name

  • What your team writes in the app, such as kudos, updates, challenges and reactions

  • The connection keys HubSpot gives us when you connect, so the service can read and write your data

From our website:

  • Basic, anonymous visit statistics, such as pages viewed

How we use it

  • To score, check for spam and route your new leads, and write the results back to your HubSpot

  • To show your dashboard, reports and rep pages

  • To find public company information (such as industry and company size) from a lead's email domain

  • To run your account, provide support and send service emails

  • To bill you

We do not sell personal information. We do not use your data or your leads' data to train AI models.

Who we share it with

We use trusted service providers to run Clear Catch. Each one only gets what it needs to do its job.

  • HubSpot: your CRM. We read leads from it and write results back.

  • Bubble: hosts the Clear Catch app and its database.

  • Make: runs the automations that score and route leads. It keeps a log of each run, including the lead details it handled, for about 30 days.

  • Anthropic: AI that writes the score reasons, lead briefs, spam checks and next-step suggestions. It receives a lead's name, email, job title, company, country and form answers. It does not use this data to train its models.

  • People Data Labs: looks up public company information from a lead's email domain. It receives only the domain (for example acme.com), not the person's name or email.

  • Framer: hosts this website.

  • Payments: until online billing is live, we invoice by email and take payment by Interac e-Transfer through our bank. When we add card payments, the payment provider will be listed here.

Some of these providers store data outside Canada, mainly in the United States. That data may be subject to the laws of those countries.

We may also disclose information if the law requires it.

How long we keep it

  • Lead records stay in Clear Catch while your account is open, so your dashboard and reports work.

  • When a contact is deleted in your HubSpot, we remove it from Clear Catch within 24 hours.

  • We only score contacts created after you connect HubSpot.

  • Logs of our automations are deleted after about 30 days.

  • If you close your account, we delete your account and its lead data within 30 days, unless the law requires us to keep something longer, such as billing records.

How we protect it

Access to HubSpot uses HubSpot's secure connection (OAuth). We never see your HubSpot password. Each customer's data is kept separate, so one company can never see another company's leads.

Your choices and rights

You can ask to see, correct or delete the personal information we hold about you. You can also withdraw your consent, which may mean we can no longer provide the service. A lead who wants their information removed should contact the business that collected it. We will help that business respond.

Email adminteam@clearcatch.io and we'll reply within 30 days. If you're not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Cookies

The Clear Catch app uses cookies to keep you logged in. The website may use cookies for anonymous visit statistics.

Changes

If we make important changes to this policy, we'll update the date at the top and email customers.
